Looking for input from other RevOps/sales ops folks: our reps manage their own email inboxes (no shared inbox), which creates two problems at volume:
Prioritization — separating high-intent replies from the noise, so reps work the best ones first
Coverage — as a manager, making sure nothing sits unanswered, since I have no visibility into individual inboxes
Volume is roughly 500/week across 2 reps. Anyone solved this well — tooling, process, or otherwise? Open to anything from lightweight automation to a full platform. (We're kicking around connecting Google Workspace to an AI agent to flag/triage and draft replies on a schedule — curious if anyone's tried something similar.)
Hey Adam M., are they sending emails in bulk or is that an approximate outbound manual email count (250/rep)? Are they going out straight from their email client (i.e. Google/Outlook) or 3rd party? Are the emails logging to a CRM by any chance? Last year we purchased ~10 domains and warmed 3-4 of them and use those as the outbound emails (i.e. emails generated from Clay tables, Prospecting Agent in HubSpot). This gave me visibility into what is working, needs replies etc. We use a few ways to track email performance depending on the medium (Prospecting Agent uses the domains we purchased but sync to HubSpot, Sequences use a generic email for our company w/ aliases for our sales team, Marketing has their own email and Clay has it’s own)
The first outbound email is triggered 30 minutes after lead creation. These are product sign-ups/downloads. The first message is automated via Gong flow, put there by Chili Piper distro. We've had some sync issues with the multiple addresses because Gong and Salesforce only allow one. I debated opening an additional Gong user for each email address. Does that make sense? I felt like the only way to be sure is by tapping straight into the email accounts via Google CLI and not depending on the sync, then from there passing it to Claude or something else through a scheduled skill. From there scoring and response drafting, put back in draft. Does that seem crazy? Would love more info about your solution
It's more about how to handle all the replies we get. Many of them give us enough info to know then if it is a commercial lead or not, but it is important to us that leads will get a response, even if it means an invite to our community instead of to schedule a call with an enterprise sales rep
I'd be curious to track any solutions here, as I'm having a similar issue. We use AI email features in 6sense, Qualified, and HubSpot, but we still have the burden of having to monitor all those mailboxes manually. The AIs do reply in most cases, but as you said, it may not always be the right type of response to ensure a good CX.
Mark R. Another solution I am researching would be using Google workspace studio to prepare replies for them, especially as some of the questions we are getting are technical related. We will maintain a skill with updated info. One challenge I am running into is finding the right person in the company to review the replies from a technical perspective to see if the LLM is correct
