I’m currently setting up my appointment scheduling flow and would really appreciate some guidance on the best approach.
I’m in the finance space and generating more than 400 positive leads every month, but I’m struggling to consistently get them booked. Usually, I send the first reply after they respond positively, but after that I’m not able to maintain consistent follow-ups until the meeting gets booked.
What would you guys suggest?
One idea I’m considering is pushing all positive replies directly into a CRM after the first response, and then having an appointment setter manually continue the follow-ups until the lead gets booked.
To make this work, I’d probably need to create dedicated email accounts for appointment-setting purposes. Right now, I’m using 10 personas across 400+ domains. My idea is to create one separate domain with 10 email accounts, and whenever I receive a positive reply, I simply CC one of those accounts and continue the conversation from inside the CRM.
Do you think this is a good approach?
Another option is automating some of the common replies. For example, many prospects respond with things like:
* “Interested”
* “Please send rates”
* “Need more info”
* “What are the terms?”
We could automate responses for these common cases, and only move leads with more complex questions into the CRM for the appointment setter to handle manually.
Or should everything be automated and there’s no real need for an appointment setter?
Would really appreciate hearing how you guys would structure this and what the best practices are.
