anyone have this issue where they create hubspot company duplicates from clay because of companies having multiple domains (eg. wonga.pl & wonga.com) + after merge you can't look up the record on the secondary domain
Hey Florian, thanks for the inquiry! I have seen this happen before, it's definitely a bit tougher to catch and often may require using AI to clean up or find the base domain instead. That of course, if you're looking to keep 1 record overall, and not a separate record for branch/region offices. So it also depends on your use case, we've seen both being valid before.
well i want mostly to have one record
the issue is that the duplicates keep reappearing
after merge they're part of the domain list in hubspot
on the company
but if you use the lookup call or the create or update call from clay, the second domain is simply ignored
seems to be an api limitation
Hey Florian - When you merge companies in HubSpot, the primary company retains its domain, and the secondary company’s domain becomes an additional domain. However, these additional domains aren’t used for deduplication. (HubSpot Knowledge Base) HubSpot’s API doesn’t deduplicate companies based on the Company domain name property. This means creating companies via the API can result in duplicates if the domain isn’t checked beforehand. (HubSpot Community) Recommended Solutions: Check for Existing Companies Before Creating: Use Unique Identifiers: Assign a unique identifier to each company and use it to prevent duplicates. This ensures each company is distinct, even if they have multiple domains. Implement Custom Deduplication Logic: • Use Lists or Reports to identify companies with multiple domains: • Create a filtered list or report in Reports > Custom Report Builder. • Set filters based on domains or company names that contain certain keywords. • Regularly check this list for new duplicates and manually merge them. Map Secondary Domains to Primary Domains in Workflows: • Set a rule in workflows that triggers when a company with an additional domain (wonga.com and wonga.pl, for example) is created. Configure it to automatically update the All Company Domains property to include the new domain. Utilize Third-Party Tools: There's tools like Insycle, which offer advanced deduplication features. Insycle can identify and merge duplicate companies using various fields and can ignore domain extensions and subdomains. (Insycle Blog)
