Is there way to look up HubSpot records with similar values? I.e. if the company name is "Cole Scott Kissane" in the import list, but "Cole Scott Kissane LLP" in HubSpot?
You can use the Lookup Object action in Clay to search for similar HubSpot records. Here's how: 1. Select your HubSpot account 2. Choose the Object type (e.g., Company) 3. In "Fields to Filter By", select the company name field 4. Set the Search Operator to "OR" if you want to find partial matches 5. Enter your search value (e.g., "Cole Scott Kissane")The lookup will return multiple records if matches are found, allowing you to see variations of the company name. You can set a limit on how many results to return (defaults to 10 if not specified). Source: Hubspot integration overview | Documentation | Clay University
How do you set the search operator?
When using the Lookup Object action in Clay to search HubSpot records, you can set the Search Operator in Step 3 of the setup process. The Search Operator determines how multiple fields are matched: • Choose "AND" if you want all fields to match• Choose "OR" if you want at least one field to matchHere's the complete setup process: 1. Select your HubSpot account 2. Specify the Object you want to lookup (e.g., Company) 3. Define your search parameters: • Select "Fields to Filter By" • Choose your Search Operator (AND/OR) • Enter the specific values to search forNote: The search will return up to 10 matching records by default, but you can adjust this limit in the settings. How and where is the AND or OR inserted?
When setting up the Lookup Object action in Clay, you can specify the Search Operator during Step 3 of the setup process. Here's how: 1. After selecting your HubSpot account and specifying the Object type, you'll reach the search parameters configuration 2. You'll see a "Search Operator" option (which is optional) 3. Simply select either: • "AND" if you want all fields to match • "OR" if you want at least one field to matchThis setting determines how multiple filters are combined when searching for records. Am I looking at the right place?
Without seeing your attached image, I can explain where to find the Search Operator setting in the Lookup Object action: During Step 3 of the setup process, when defining search parameters, you should see: 1. "Fields to Filter By" where you select your search fields 2. A "Search Operator" option (which is optional) 3. "Field Values" where you enter your search termsThe Search Operator setting allows you to specify whether to use AND or OR logic to combine multiple filters. If you're not seeing this option in Step 3, please let me know and I can help you locate it. I don't see the search operator option
Looks like you're still looking for help. We're escalating this over to our support team and someone should be in touch soon. In the meantime, feel free to include any other information that may be helpful in solving your issue!
Hi Nicole, thanks for reaching out! Do you have other fields you can use to find a match with your lookup as well? We've made updates to our Hubspot lookup to be able to use multiple filters to find matches using the "AND" or "OR" logic. You can learn more about how this works here in our guide: https://www.clay.com/university/guide/hubspot-integration-overview#available-hubspot-actions https://downloads.intercomcdn.com/i/o/w28k1kwz/1356634528/ec55f934fb62af443fc79ec45a67/CleanShot+2025-01-29+at+11_28_14%402x.png?expires=1738170000&signature=4db9915a13f2fd1e49b5776db698395111bfef44c93e4439d4f3205772412327&req=dSMiEM99mYRdUfMW1HO4zaMLiZxULLzD32FmmEJG1PEFZ6L%2B5R9A0yNKEwxQ%0AbWGt%0A
For this case, I am only looking up by company name and looking for similar as the example I gave (Cole Scott Kissane vs. Cole Scott LLP)
Got it Nicole, in this case we are not able to change the lookup filter to similarity instead of exact match
How many companies do you have in your Hubspot Nicole?
10,599
That's perfect, because they are less than the row limit for a Clay table (50K) then they can all fit in a Clay table. There's actually a workaround we can apply here using the Clay Lookup enrichments. 1. First, import all of your companies (and their Hubspot IDs) from your Hubspot into a Clay table either via CSV or the Hubspot table source. Name this "Master Hubspot company List" or something similar. 2. In your current table, use the Lookup Single row in other table enrichment to conduct a Lookup based on the company name using the "Contains" operator. Here's a tutorial on setting up this Lookup. The contains operator is key as it doesn't look for an exact match but rather the similarity match you're looking for. 3. Once you find this match, it will pull the Hubspot ID as well as all other columns from your table into the Lookup column in your current table. From here, you can take this Hubspot ID and use it in your Create or Update Object enrichment!
Feel free to give this a shot and let us know if you have any further questions!
Thank you. I ended up pulling domains using claude as the next step while I was waiting, but I will file this for future reference. While I have you here, I do still have a question on the Lookup object criteria for this: https://app.clay.com/workspaces/339088/tables/t_D4tcAaMQmd8t/views/gv_HjgBkvXX4CQ8 For example, Ogletree Deakins was not found (row 475), however the domain in HubSpot is ogletree.com Did I set the criteria right?
nvm I see the issue!
That's great Nicole! Let us know if anything else comes up for you!
What if a property is missing from the properties list results? For example, we have a custom property called "Company Type" that I would like to add as a column, but I'm not seeing it here.
Hey Nicole, could you search "type" in the field search bar at the top? Since you have 111 properties, it's possible you may just not be seeing this property
Hey there - just wanted to check in here to see if you needed anything else! Feel free to reply back here if you do.
We haven't heard back from you in a bit, so we're going to go ahead and close things out here - feel free to let us know if you still need something!
