Creating a Live HubSpot Data Table with Clay for Daily Updates

Hello, I have a rather simple Hubspot-related issue. I want to create a Clay table with the only purpose to reflect e.g. all companies of Hubspot and being updated daily. New rows are being added to this list, however, changes in values of existing rows are not updated and rows of removed records are not removed in the table. How can I create such table that mirrors Hubspot objects?

    To create a Clay table that mirrors your Hubspot company data:1. Create a new table: • From your Workspace Home, select "+ Create new" • Search for "Hubspot" to import your Hubspot data 2. Configure the import: • Select your Hubspot account • Choose "Company" as the Object Type • (Optional) Select a specific list to pull from, or leave blank to pull all companies • Enable "Read-Only Properties" if needed for accessing certain data • Choose whether to exclude empty propertiesFor keeping the data updated:** New rows will be automatically added when they appear in Hubspot ** You can configure auto-update settings to ensure your table stays synchronized * Use the Lookup Object action to retrieve the most current data for existing recordsNote: For specific sync conditions or update triggers, you can use formulas to control when the data refreshes.     Maximilian J. have you tried sourcing your Clay account table from the HubSpot list source? If you create an active list in HubSpot, I believe Clay refreshes the list on a daily basis.

    This may only refresh new records in the list entering the table as a row, though I'm not sure if it also refreshes the entire table with updated hubspot data. For this, I would suggest using custom code to trigger this lookup and update from Clay to HubSpot

    Hi Jacob T. 🙂 refreshing already works as it adds new companies as new rows. The issue are updates or removals of existing companies/rows

    If I add lookup object columns for the values I need to be updated and search for the hubspot ID (which does not change), will these lookups alaways show the most recent value or are they "fixed" once they found a result?

    Jacob T. I have now added a lookup object column first and draw all of my hubspot properties out of this column. If something changes in hubspot and this column is run anew, it updates the values in the clay table. However I would need to re-run the whole lookup object column each time to update the values which would be super time consuming

    Hey there Maximilian thanks for reaching out and appreciate you jumping in Jacob. As you have noted the HubSpot Lookup integration does show each current value in your HubSpot data base when the integration is run. As you have also seen at this moment, currently we do not have a way to schedule column runs, although this is something that the team is considering on adding.

    Yes - I don't believe there's a native feature for this in Clay... at least, not a robust one. For this I'd suggest using custom code to trigger the regular refreshes. Maximilian J. We created a custom rules engine where we can define how often to re-enrich or refresh data, and trigger the enrichments /refresh in Clay
